description: 63% of distributors can't keep pricing consistent across their own systems. Here's where that gap actually costs you, on both sides of the ledger.

Group buying power gets your vendor costs down. That leverage is real. But between the price your vendor negotiates and the price your customer pays, there's a gap a lot of distributors aren't tracking.

Vendor costs move. Customer prices don't always move with them. Nobody's watching the difference until it shows up somewhere else, a thin quarter, a margin report that doesn't add up, an inventory position that doesn't match what the numbers say it should.

---

## **Why the Gap Opens**

The mechanism is straightforward. A vendor cost change comes in. Someone has to load it, apply the right pricing rules for the right customer tiers, and push it out across every system it touches, ERP, e-commerce, customer portals. Each one of those is a manual step, and each step is a place the update can stall.

63% of distributors report inconsistent pricing across their own systems, ERP, e-commerce, and customer portals quietly drifting out of sync with each other. Few catch it until it's already sitting in the numbers.

Part of why this is hard to catch: pricing and purchasing usually sit in different parts of the org chart. The team negotiating vendor costs isn't the same team updating customer prices, and neither of them owns inventory. Three functions, three sets of numbers, and nobody positioned to see all three connect.

---

## **It's Not Only a Pricing Problem**

This is where it gets more expensive than it looks. A vendor cost change affects more than what you should be charging, it affects the real cost basis of everything already sitting in inventory. If your pricing lags the cost change, your inventory valuation and your margin math are both working off a number that's already gone stale.

The distributors carrying this gap tend to show up on both sides of it: pricing that hasn't caught up, and inventory that hasn't been recalibrated to match. Industry benchmarks put healthy inventory turns around 6.4 a year. A lot of distributors are running closer to 3 to 4, and separately, 88% say they want more out of their ERP than it currently gives them. Different symptom, same root cause: pricing, costs, and inventory reported as three separate numbers instead of one connected picture.

---

## **What This Costs**

Our diagnostic typically finds 1.4% to 3.7% of annual revenue sitting in this gap. For a $15M distributor, that's $210K to $555K. For a $50M distributor, it's $700K to $1.85M. One CEO we worked with, running a business doing about $70M in revenue, found $800K in exactly this gap once pricing, costs, and inventory were mapped as one picture instead of three separate reports.

That's not a hypothetical range. It's what shows up once someone connects the three numbers instead of reading them separately.

---

## **Closing the Gap**

A few things distributors can do regardless of what technology they're running:

- **Know your real cost basis.** Fixed and variable costs both roll into what a price needs to cover. If landed cost has moved and your price hasn't, you're pricing against a number that no longer exists.
- **Price on today's data, not last quarter's.** A price based on "what we charged last time" doesn't account for what's changed since, on the cost side or the demand side.
- **Connect pricing to inventory, not only to cost.** A SKU in excess inventory and the same SKU when supply is tight carry different margin math, even at the identical price.
- **Close the loop between purchasing and pricing.** The two teams negotiating cost and setting price need a shared view of what changed and when, not two separate systems that happen to both mention the same SKU.

None of this requires new technology to start. It requires someone connecting the three numbers that are usually sitting in three different reports.

With 30+ years in distribution and nearly a decade of developing and deploying Machine Learning models tailored specifically for distributors, he helps mid-market industrial distributors identify and eliminate margin leakage across pricing, costs, and inventory — and keep it fixed. He built Intuilize on the premise that software alone doesn't earn trust and expertise alone doesn't scale: distributors need both a model built for their business and someone who knows distribution well enough to drive adoption and deliver real ROI

## Frequently Asked Questions

#### Q1. How long does it typically take for a vendor cost change to reach the customer price?

It varies widely by distributor, but the delay itself is the risk, not any specific number of days. The longer a cost change sits before reaching the customer price, the more transactions go out at a margin that's already wrong.

#### Q2. Is this mainly a pricing team problem or a purchasing team problem?

Neither, on its own. It's a visibility problem that sits between them. Purchasing sees the cost change first. Pricing owns the customer-facing number. Inventory sits on the valuation impact of both. None of the three usually has a complete view of what the other two are seeing.

#### Q3. Do we need new software to find this gap?

Not necessarily to find it. A focused analysis of vendor cost timing against customer pricing and inventory valuation will usually surface using data you already have. Closing it consistently, especially at scale, is where distributors eventually want something more systematic than a one-time review.
