title: Treat AI Like a Supervised Intern | Intuilize
description: AI alone does not fix follow-ups or pricing questions. Give it context, then check its work. Four steps and a three-gate check you can run on Monday.

Before a recent session with an industrial distributor association, we surveyed its members (n=15). 13 said someone at their company has used AI for work. 10 said only a few people on their team have tried it. 13 put customer follow-ups in their top four pain points. And 7 asked for real examples, step by step.

That last number is the reason for this article. Instead of a framework in the abstract, here's one example, start to finish.

## AI Alone Is Not Enough

Trying AI isn't the hard part. NAW/MDM research found that 65–74% of distributors report no measurable improvement from AI tools already purchased and deployed (NAW/MDM, "In Pursuit of Value," April 2026, n=426).

That's the gap this post is about. Not whether a tool can write a draft, but who supplies the context and who owns the check.

Think of the tool as a supervised intern. An intern gets the raw material, the background, and a second look before anything goes out. That gives four steps: raw input, context, output, and a human check. The tool does the heavy lifting in step three. You own steps one, two, and four.

![Four steps for treating AI like a supervised intern: raw input, context, output, and human check. The tool does step three. ---

## Step 1: The Raw Input

Picture a rep's phone note after a call. A customer needs a 2-inch suction hose for a job site, as soon as possible, and asks whether the price is the same as last time. This is a sample scenario from the session, so no real customer appears.

### What Happens With No Context

Paste that note into an AI tool and ask for a reply, with nothing else, and you get a confident draft that gets the important parts wrong. It offers "same as your last order" as the price. It promises to get the order moving right away. It includes no part number, because nobody gave it one. It asks only about delivery.

---

## Step 2: Add the Context

Now give the tool what a new hire would need on day one: two short cards, each written once. The first covers who you are: your role, your tone, and your focus, such as safety and speed. The second is the customer profile: tier, payment terms, and usual part number.

![A rep's raw phone note next to two context cards. One card describes the rep's role, tone, and focus. The other describes the customer's tier, payment terms, and usual part number.](https://blog.intuilize.com/hs-fs/hubfs/2026%20Files/Diagnostic%20(files)%20-2026/RAGCO_Keynote_Blogs_Visuals%20(3).png?width=960&height=540&name=RAGCO_Keynote_Blogs_Visuals%20(3).png)

---

## Step 3: The Output

Same note, same tool, with the two cards attached. The draft changes. It uses the part number from the card. It doesn't guess the price, and says it will confirm. It asks for the date, delivery details, fitting details, and a PO number in writing. It promises no action. It closes with a name, company, and phone number.

Same tool. Same note. The difference was the context.

![Two AI drafts compared. With no context, the draft guesses the price, promises action, and omits the part number. With context cards, it uses the part number, offers to confirm the price, and asks for the details it needs.](https://blog.intuilize.com/hs-fs/hubfs/2026%20Files/Diagnostic%20(files)%20-2026/RAGCO_Keynote_Blogs_Visuals%20(4a).png?width=960&height=540&name=RAGCO_Keynote_Blogs_Visuals%20(4a).png)

### A Harder Email, and One Fact the Tool Does Not Have

Then we raised the difficulty with the same cards. The customer's email carried three asks: a price confirmation the customer never received, the status of a PO for couplings the site needed by Friday, and whether the fittings matched an earlier order. The rep added a short note with one fact the tool couldn't know. The price confirmation had gone to an old address, and the couplings were with the carrier, with no delivery date yet.

The cards give the tool your rules. They can't give it a fact nobody told it. That part stays with you.

---

## Step 4: Three Checks Before You Send

A draft isn't done until a person checks it. Before this one goes out, run it through three gates.

Spec check. Did the tool pull the correct pressure and temperature rating for the application?
Inventory and PO. Is the quantity on the floor, or does this trigger a purchase order?
Shop capacity. Can the shop cut, couple, and test the assembly by the deadline?

None of this is new. Your team already runs these checks. The framework makes them visible.

![Three verification gates before sending an AI draft: spec check, inventory and PO, and shop capacity.](https://blog.intuilize.com/hs-fs/hubfs/2026%20Files/Diagnostic%20(files)%20-2026/RAGCO_Keynote_Blogs_Visuals%20(6).png?width=960&height=540&name=RAGCO_Keynote_Blogs_Visuals%20(6).png)

---

## The Same Idea Works for Spec Lookups

When the question is a spec lookup, attach the catalog and your account rules. The tool answers from the documents and cites the row it used. Anything the documents don't cover, such as country of origin or a material certificate, goes on a list to confirm with the manufacturer in writing.

### Your Monday Morning Task

- Pick your single longest-overdue customer follow-up.
- Open your AI tool and paste your context card.
- Run the draft through the three gates.
- Send it.

---

## **What Happens Next Is Up To You**

One customer email is a small decision. A distributor makes the same kind of call across pricing, costs, and inventory all day, and each one can move the margin number.

The pattern holds there too. A tool can read the data and draft an answer. It still needs your context, such as your price rules, your cost basis, and your inventory position, and it needs a person who owns the check. When margin moves and nobody can say which decision moved it, that's the same gap at a larger scale.

*Answering that is what our Margin Diagnostic is for: two weeks, your own transaction data, and a specific dollar figure on what those decisions are costing.*

With 30+ years in distribution and nearly a decade of developing and deploying Machine Learning models tailored specifically for distributors, he helps mid-market industrial distributors identify and eliminate margin leakage across pricing, costs, and inventory — and keep it fixed. He built Intuilize on the premise that software alone doesn't earn trust and expertise alone doesn't scale: distributors need both a model built for their business and someone who knows distribution well enough to drive adoption and deliver real ROI

## Frequently Asked Questions

#### Q1. What goes on a context card?

One card covers who you are: your role, your tone, and your focus, such as safety and speed. The other covers the customer: tier, payment terms, and usual part number. Both are plain documents, so you can reuse them and share them with your team.

#### Q2. How long do the cards take to build?

Write each card once. Keep it in a document you own and update it when something changes.

#### Q3. Will AI replace jobs in distribution?

In all three examples from the session, the tool prepared the draft or the numbers and a person made the call. It takes repetitive typing off your team's plate so they have more time for customers.
